Job Summary
We are seeking a highly organized and proactive Business Administrator for daily office operations and support our team. The ideal candidate will possess strong administrative, clerical, and customer service skills. The Business Administrator is responsible for customer invoicing, collections, payment processing, and administrative support functions for a life and fire safety company.
The position requires strong attention to detail, customer service skills, and the ability to work in a fast-paced environment while maintaining compliance with company procedures and documentation requirements This role requires excellent communication and organizational skills to ensure smooth business processes.
Key Responsibilities
- Answer phones and direct customer inquiries professionally.
- Maintain electronic and physical filing systems.
- Order office supplies and assist with general office administration.
- Maintain confidentiality of financial and customer information.
- Assist management with reporting, spreadsheets, and operational tracking. Respond to customer billing and service inquiries.
- Maintain professional relationships with customers
- Communicate payment terms and service contract information clearly.
- Assist customers with certificate requests, inspection documentation, and service records.
- Contact customers regarding outstanding balances and payment arrangements.
- Reconcile customer accounts and resolve billing discrepancies.
Qualification Requirements
- Minimum 2–3 years of accounts receivable or administrative experience.
- Experience in the fire protection, life safety, or service industry considered an asset.
- Knowledge of invoicing, collections, and bookkeeping procedures.
- Proficiency with Microsoft Office, especially Excel and Outlook.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to prioritize tasks and work independently

Pay: $17.20-$25.00 per hour
