About the Role
We're looking for an Executive Operations Manager to become the CEO's right hand. This is a unique role that combines executive support, operations, project management, and leadership. You'll have the opportunity to make a real impact, working directly alongside the founder to help shape how the business grows and operates.
You'll help remove work from the CEO's plate, improve systems across the business, coordinate projects, keep the team aligned, and ensure things don't fall through the cracks.
You'll thrive in this role if you naturally take ownership, enjoy solving problems, and love making businesses run more efficiently.
Key Responsibilities
Executive Support & Organization
- Manage the CEO's inbox, calendar, travel, and appointments.
- Prepare meeting agendas, document action items, and follow up on next steps.
- Organize priorities and proactively help manage the CEO's daily workflow.
- Provide occasional personal administrative support to the CEO (bookings and coordination only).
Operations & Projects
- Coordinate projects across departments to ensure deadlines and deliverables are met.
- Translate the CEO's direction into clear action plans for the team.
- Coordinate weekly team meetings and support monthly performance check-ins.
- Maintain accountability by following up on outstanding tasks and commitments.
- Improve internal systems, workflows, and operational efficiency.
- Create, maintain, and continuously improve SOPs and internal documentation.
- Identify operational bottlenecks and recommend practical solutions.
- Ensure ideas move from concept to execution.
- Maintain organized project trackers, dashboards, documentation, and company resources.
- Maintain a structured and organized company drive and digital filing system.
Administration & Finance
- Organize receipts and maintain accurate financial documentation.
- Prepare and send invoices accurately and on time.
- Assist with basic bookkeeping and financial record keeping.
- Review contracts, agreements, and business documents for accuracy and completeness.
- Maintain accurate SKU databases, inventory records, and operational data.
Systems & Business Support
- Update Shopify products, inventory, imagery, variants, and settings with accuracy.
- Coordinate with manufacturers, suppliers, contractors, and third-party partners.
- Assist with vendor coordination, events, trade shows, and retreats as needed.
- Support marketing coordination, including content collection and platform updates.
- Maintain exceptional attention to detail and accuracy across all administrative and operational tasks.
- Proactively solve problems and take ownership before escalating issues.

Qualifications
- 3–5+ years of experience in operations, executive support, project management, or a similar role.
- Excellent organizational and time management skills.
- Strong written and verbal communication.
- Comfortable learning new software quickly.
- Experience with Google Workspace, Slack, Shopify, Notion, or similar platforms is an asset.
- Ability to maintain confidentiality and professionalism.
Work Structure
- Full-time position (Mon-Friday: 9-5)
- Hybrid (Calgary-based). Must be available to work in person as needed for meetings, planning sessions, and company events.
