Job Summary
We are seeking a highly organized and proactive Executive Assistant to support our executive director. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. This role involves managing schedules, handling correspondence, and performing a range of clerical duties to ensure smooth daily operations. The Executive Assistant will be a key point of contact within the organization, providing exceptional customer service and administrative support to facilitate executive functions.
Duties
- Manage and maintain executives’ calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events efficiently.
- Prepare, proofread, and edit correspondence, reports, and presentations with attention to detail.
- Handle incoming calls using professional phone etiquette; direct inquiries appropriately.
- Perform data entry, filing, and document management tasks using Microsoft Office Suite.
- Assist with bookkeeping tasks and perform basic functions as needed.
- Coordinate travel arrangements and prepare itineraries for executives.
- Support front desk operations including greeting visitors and managing office supplies.
- Maintain confidentiality of sensitive information while providing exceptional customer service to internal and external stakeholders.
- Assist with special projects requiring organizational skills, proofreading, and data management.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with QuickBooks for bookkeeping and financial record-keeping.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills including phone etiquette.
- Demonstrated clerical experience with data entry, filing, and document management.
- Familiarity with customer service demonstrating positive attitude and pleasant demeanour.
- Ability to work independently with minimal supervision while maintaining attention to detail.
- Experience in office environment settings, including administrative or executive support roles preferred.
- Capable of managing calendars efficiently using Microsoft Outlook/Google Calendar.

Pay: $16.00-$22.00 per hour
