The Administrative Professional VI provides senior-level administrative and program support for postgraduate medical education (PGME) within the Department of Psychiatry. This role supports residency training programs, faculty, and leadership, ensuring compliance with accreditation standards and effective coordination of academic and clinical activities. Key Responsibilities Coordinate and administer residency program activities, including onboarding, scheduling, evaluations, examinations, and CaRMS processes. Support program accreditation, reviews, and reporting in alignment with Royal College and Cumming School of Medicine (CSM) PGME standards. Manage resident documentation (e.g., CPSA requirements) and ensure regulatory compliance. Provide administrative support to Program Director and leadership, including meeting coordination, correspondence, and reporting. Plan and support events (orientation, research day, retreats). Maintain databases and records; ensure data integrity, accuracy, and confidentiality. Assist with financial processes (expenses, disbursements, tracking). Serve as a key contact for residents, faculty, and stakeholders, managing sensitive and complex communications. Other tasks as required.

Required Qualifications:
Completion of post-secondary education (e.g. diploma in business or office administration, specialized external certification).
Additional Required Qualifications:
Minimum 5–7 years of progressive senior administrative experience in a teaching hospital, academic, or multidisciplinary healthcare environment. Minimum 3 years’ experience supporting residency or fellowship programs. Experience working within clinical and academic education environments. Ongoing understanding of PGME frameworks, including: Royal College of Physicians and Surgeons of Canada standards and Competence by Design (CBD). Cumming School of Medicine PGME policies and training programs. Knowledge of the relationship between clinical operations and educational programming. Familiarity with CPSA requirements for resident practice. PARA Collective Agreement experience. Excellent organizational skills and attention to detail in high-volume, data-driven work. Strong analytical, problem-solving, and decision-making skills with ability to act independently. Advanced proficiency in Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint) and database management. Strong written and verbal communication skills, including handling confidential and sensitive situations. Ability to manage multiple priorities, work under pressure, and adapt to change. Demonstrated ability to work independently and collaboratively with minimal supervision. High level of professionalism, discretion, tact, and sound judgment.
Preferred Qualifications:
Experience with systems such as One45, MedSIS, PeopleSoft, CaRMS, AHS ePeople, and On-Call applications. Knowledge of University of Calgary financial systems (e.g., eFIN, eProcurement). Experience with accreditation processes and PGME program administration in Calgary. Experience with videoconferencing technology.
