This is a temporary position with the possibility of extension based on organizational need, with a start date of July 27, 2026.
The Front Desk Associate ensures a smooth, welcoming, and well-functioning workplace by managing reception duties, coordinating day-to-day office operations, and assisting with basic client and facility-related activities. Reporting to the Operations Manager, the Front Desk Associate is responsible for greeting individuals arriving at Port Cares, directing clients and visitors to the appropriate personnel or services, answering and forwarding telephone calls, taking messages, scheduling appointments as appropriate, and performing general administrative and office support tasks as required.
This position involves working with vulnerable clients and requires a professional, respectful, and compassionate approach, along with strict adherence to confidentiality and organizational policies

JOB DESCRIPTION
Reception & Customer Service
· Welcome and assist clients, donors, volunteers, and visitors in a professional, courteous, and welcoming manner.
· Answer and direct incoming telephone calls; take messages and distribute them to the appropriate staff members.
· Respond to general reception inquiries and direct individuals to the appropriate programs, services, or personnel.
· Represent Port Cares in a professional and positive manner while promoting the organization's mission and services within the community.
· Maintain the confidentiality of client, donor, volunteer, employee, and organizational information in accordance with Port Cares policies and applicable privacy legislation.
Administrative Support
· Welcome and assist clients, donors, volunteers, and visitors in a professional, courteous, and welcoming manner.
· Schedule appointments and maintain calendars for designated staff as required.
· Receive, sort, and distribute incoming mail, deliveries, and donations.
· Assist clients with basic office services, including faxing, photocopying, and completing basic forms or paperwork.
· Maintain a clean, organized, and welcoming reception area.
· Perform other administrative and operational duties as assigned.
Skills and Abilities Required
· High school diploma or equivalent required; post-secondary education in Office Administration, Business Administration, or a related field is considered an asset.
· Previous experience in a receptionist, customer service, administrative, or office support role is preferred.
· Experience working in a non-profit or community service environment is considered an asset.
· Demonstrated interpersonal and problem-solving skills; able to work independently and collaboratively.
· Excellent organizational and time management skills with the ability to prioritize tasks in a fast-paced environment.
· Excellent written and verbal communication skills.
· Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
· A willingness to learn, adapt, and contribute to a fast-paced, community-focused environment.
· Openness to learning about social work principles and applying a compassionate, client-centered approach when supporting vulnerable populations.
Pay: $20.00 per hour
