Phase2Design is a growing interior design and architectural design firm specializing in custom homes, restaurants, commercial spaces, offices, and luxury residential projects throughout the GTA.
We are looking for an organized, proactive, and dependable individual to join our team and help support both office operations and project coordination. This is an ideal position for someone who enjoys organization, communication, problem-solving, and being involved in a creative design environment.
Responsibilities
Administrative Support
- Prepare and send client invoices
- Follow up on outstanding invoices and payments
- Maintain organized digital and physical project files
- Assist with scheduling meetings and coordinating appointments
- Support general office administration
Material Library & Design Support
- Organize, label, and maintain our material and finish library
- Catalogue samples, finishes, and product information
- Assist with sourcing materials, finishes, furniture, fixtures, and products for project teams
- Help maintain an organized and professional studio environment
Project Support
- Visit project sites to take photographs and document progress when required
- Install project signage and site boards
- Assist with sample pickups, deliveries, and miscellaneous project-related errands
- Support the design team with coordination and day-to-day project tasks
Qualifications
- Strong organizational skills and attention to detail
- Excellent communication and follow-up skills
- Comfortable speaking with clients regarding invoices and outstanding payments
- Ability to work independently and take initiative
- Proficient with Microsoft Office and Google Workspace
- Valid driver's license and access to a vehicle preferred
- Previous administrative, office coordination, project coordination, or design industry experience is considered an asset
