Our midwifery clinic in SE Calgary is seeking an experienced, grounded, and compassionate Practice Operations Coordinator to help care for the systems and people that make our work possible.
This role is ideal for someone who finds meaning in holding the structure behind the scenes — creating calm, clarity, organization and consistency so that midwives, staff, students, and clients feel supported, informed, equipped, respected, and well cared for.

About the Role
The Practice Operations Coordinator is a central and trusted member of our administrative team. They steward the day‑to‑day operations of the clinic, support administrative staff, manage systems and finances, and help ensure our clinic runs smoothly and sustainably.
This role requires strong organizational skills, clear communication, flexibility/adaptability, proactive thinking, sound judgment, discretion, and an appreciation for both the practical and relational aspects of Midwifery care.

What You’ll Be Responsible For:
- Supporting the smooth daily functioning of the clinic
- Supervising and supporting front‑desk and administrative staff
- Maintaining schedules, workflows, and operational systems
- Gathering, compiling and disseminating rotational schedules for all midwives practicing at the clinic
- Overseeing and approved billing and contractor invoicing
- Payroll coordination, and financial processes
- Working closely with the practice lead/clinic owner to support daily functions as well as long term planning and problem solving
- Potential involvement in the on-going development and implementation of an alternative practice model branch of services
- Supporting midwives with Alberta Health billing and reporting systems
- Ensuring privacy, confidentiality, and regulatory compliance and reporting
- Coordinating meetings, communications, and internal projects
- Helping cultivate a welcoming, organized and inclusive clinic environment
- Developing/maintaining relationships with vendors, providers, community resources and governing bodies
- Sourcing, ordering and maintaining inventory of clinical and administrative supplies and supports
- Managing space rental bookings and payments
- Maintaining and updating the practice’s website and social media accounts
- Maintenance, troubleshooting and further development of Aurora’s internal intranet resources
- Interfacing with our benefits provider to coordinate annual renewal implementation and communication
- Acting as a troubleshooting resource for internal systems (EMR, scheduling system, client tracking system etc…)
- Creation, management and dissemination of internal policy documents
- Creation of both provider-facing and client-facing signage and communication as needs arise
- Distillation and dissemination to practitioners of cyclical client feedback and assistance in navigation of complaints or issues.
- Management and administration of email accounts for all clinic personnel
- Contract monitoring, coordination and renewal with midwives and support staff

Experience working in the context of midwifery, women’s health, or reproductive healthcare is a HIGHLY desired asset, but not expressly required.

Rate of Pay: $24-$28/hour
