SWM Contracting is looking to hire a full time Accounting Administrative Assistant to join us and support our finance team and office operations.
In this hybrid role you will assist in the smooth day-to-day running of financial and administrative processes.
KEY RESPONSIBILITIES
- Payroll Processing: Process weekly Union and Non-Union payrolls.
- Pension and Benefits Administrator: Maintain employee Group Benefits and Pension Plans.
- Data Entry: Assist with entry of Accounts Payable, Accounts Receivable, Time & Material Shift Reports and Month-End Processes.
- Transaction Processing: Code, batch, enter, and reconcile transactions, including expense reports, and credit card statements.
- Document Control: Serve as the central hub between project managers, engineers, subcontractors and clients ensuring critical documents, both incoming and outgoing, are organized, tracked, and secured.
- Administrative Support: Perform general office tasks such as scanning/filing paperwork, managing mail, updating client/vendor databases, answering inquiries, etc.
KNOWLEDGE AND SKILLS
Education: Post-Secondary Education in business, accounting, or a related field.
Qualifications:
- Minimum of 5 years’ experience in a similar role.
- Strong knowledge of Microsoft Office, including spreadsheet tools (Excel) is required.
- Experience with accounting software (Jonas) and Work OS (Monday.com).
- Knowledge of Collective Agreements (ICI & EPSCA) is an asset.

- High attention to detail and accuracy in data entry.
- Ability to maintain the confidentiality of sensitive financial information and manage sensitive employee compensation data with discretion.
