We are currently seeking a motivated and personable Treatment Coordinator to join our growing team on a full-time basis.
Job Overview
We are seeking a results-driven and personable Treatment Coordinator to manage the full patient journey — from first inquiry through consultation to a confirmed, booked procedure. This role combines the relationship-building and administrative strengths of a patient coordinator with a disciplined, target-oriented approach to conversion. The ideal candidate is a natural communicator who is comfortable presenting treatment options, addressing hesitations, and confidently guiding patients toward a decision, while also keeping the day-to-day patient experience running smoothly.
Duties
- Serve as the main point of contact for new and existing patients, from first inquiry through post-procedure follow-up
- Review incoming leads from multiple channels (phone, email, website, referral) and follow up promptly and consistently
- Lead in-person and virtual consultations, presenting treatment options, expected outcomes, and pricing clearly and persuasively
- Proactively address patient hesitations or concerns that may delay a decision to proceed
- Guide patients toward a confirmed booking at the point of consultation wherever possible
- Book procedures and follow-up appointments accurately, and secure deposits at time of booking
- Ensure all pre-op, post-op, and consent requirements are completed and documented
- Coordinate scheduling with the surgeon and clinical team to align bookings with OR availability and practice capacity
- Answer phones, emails, and walk-in inquiries, and manage patient flow and check-in at reception as needed
- Maintain accurate patient files, EMR/CRM entries, and financial/deposit records
- Support practice growth through patient relationship-building, referral programs, and engagement initiatives
- Provide reporting on consultation volume and conversion/booking outcomes as requested

Experience
- 2–3 years' experience in patient coordination, consultative sales, client services, or a similar role in healthcare, preferably cosmetic surgery, dermatology, or another private-pay specialty
- Demonstrated track record of meeting or exceeding conversion or booking targets
- Confident, persuasive communicator comfortable asking for the close and handling objections
- Excellent interpersonal skills — polished, professional, and compassionate with patients
- Strong organizational skills with the ability to manage multiple priorities and a high-volume lead pipeline
- Proficiency with EMR/CRM systems, scheduling platforms, and Microsoft Office or equivalent
- Ability to handle confidential patient and financial information with discretion
