Position Overview
Reporting to the Community Experience Manager, the Concierge is part of an interdisciplinary team that enrichens the lives of our residents by providing day-to-day resident, visitor, and family support as well as internal and external stakeholder engagement.
The Concierge is the face of Canterbury Foundation. In collaboration and consultation with department leads, the ideal candidate will be solutions and relationship focused and will demonstrate a strong ability to navigate resident/family/care needs, with ease, confidence and in a practical manner.
The Concierge, as the primary touch point for all visitors to Canterbury, will be an experienced individual who demonstrates exceptional customer service and provides high-quality service to all residents, staff, and guests. The Concierge will possess a positive attitude, be highly skilled at problem-solving, possess exceptional time-management and communication skills, and have the ability to build successful relationships. Resident and guest satisfaction are paramount, and it is the Concierge’s primary focus to ensure that they are delivering an exceptional experience to all.
KEY RESPONSIBILITIES
Liaising with Residents, Families, Internal/External Stakeholders
- Greet and welcome residents, families, visitors and internal/external stakeholders.
- Listen carefully to understand resident's and guest’s needs and provide them with personalized solutions or recommendations based on Canterbury programing and available resources within and outside of the organization.
- Complete resident, family and staff requests in a timely and professional manner.
- Help with the organization of on-site events and corporate meetings.
- Process important queries and manage customer expectations in a polite and friendly manner.
- Keep track of regular resident guests and create a tailored experience based on their personal needs
- On an ad hoc basis, for new potential residents and families, answering their questions and providing all of the benefits of choosing the supportive, inclusive and loving community that is Canterbury
- Support the assimilation of new residents and their families to ensure a seamless and successful settling into the Canterbury community
- Liaise between residents, families, and the organizational departments to address and resolve any issues, concerns or questions that may arise
- Support residents who show signs of cognitive impairment with patience and understanding, while consistently upholding Canterbury's values.
- Lead seasonal programs and internal projects based on organizational priorities.
- Provide monthly reporting support and follow up to the Health and Safety Committee regarding occupational health and safety initiatives and legislative requirements.
- As a member of our interdisciplinary team, partner with Health Services to identify and report changes to resident behaviours and medical concerns and maintain a resident care log on a weekly basis.
- Responsible for working in support to create resident profiles, using the WELBI program
- Support our resident onboarding process to orient new residents and family members to the community. This involves onsite community tours i.e. where the doctor's office is located, library, and other amenities, providing information on daily programming, meals, activities calendar, etc.
Corporate Support
- Providing input to internal/external written communications and memorandums delivered by the Resident and Family Liaison and/or corporate departments.
- Provide administrative support to project teams across the organization.
- Providing administrative support to the leasing department, following up with on inquiries with leasing information, and packages.
- Providing administrative support to leasing/marketing events at Canterbury and in the community.
- Provide administrative support for Canterbury’s Day Program. This may include checking residents in, making appointments, arranging transportation, maintaining bookings schedule, and other duties as required.
Emergency Response
- Respond to smoke/fire alarms and ensure all fire alarms are managed in accordance with Canterbury Foundation emergency procedures.
- Direct EMS/first responders to the right quadrants of the building to provide critical care to residents.
The role may require occasional weekend and evening work. In accordance with applicable employment standards legislation in AB, overtime/time in lieu will be granted for hours worked beyond the regular work schedule.
Educational Qualification
- Diploma in Business Administration preferred
Work Experience and Qualifications
- Minimum 2 years of receptionist and administrative experience; experience in seniors housing, lodges, assisted living, memory care, or long-term care is considered a strong asset
- Experience working with seniors experiencing dementia or cognitive decline, including understanding of supportive communication strategies
- Basic medical knowledge or familiarity with common medical terminology used in senior care settings
- Demonstrated competence in applying core values such as respect, compassion, dignity, and integrity
- Strong customer service skills, including the ability to remain calm, patient, and professional when assisting residents, families, and visitors
- Demonstrated initiative, problem-solving abilities, and the ability to work independently with minimal supervision
- Intermediate to advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Publisher, Access, Outlook) and ability to learn new software
- Proficient computer skills and knowledge of common office equipment
- Keyboarding speed of at least 50 wpm
- Ability to operate a multi-line switchboard efficiently
- Strong written and verbal communication skills with clear, legible documentation
- Ability to manage multiple tasks, prioritize effectively, and maintain accuracy in a fast-paced environment
- Ability to maintain confidentiality and comply with privacy regulation
