Job Overview
We are seeking a highly organized and detail-oriented Administrative Coordinator/Publishing Assistant to support our office operations and publishing projects. This role requires a proactive individual with strong clerical skills, excellent communication abilities, and familiarity with office management tools. The ideal candidate will be responsible for managing administrative tasks, assisting with publishing processes, and providing exceptional customer support to ensure smooth daily operations.
Qualifications & Skills
- Strong organizational, time-management, and multitasking skills, with the ability to manage multiple projects, deadlines, and priorities.
- Excellent written and verbal communication skills, with the ability to build and maintain professional relationships with authors, advertisers, clients, partners, and internal teams.
- Experience in project coordination and project management, including planning, tracking progress, and ensuring deliverables are completed on schedule.
- Familiarity with magazine publishing, editorial workflows, and production processes.
- Strong attention to detail, proofreading, data accuracy, and quality-control skills.
- Ability to conduct research, analyze information, and prepare reports and supporting documentation.
- Strong administrative, customer service, problem-solving, and stakeholder-management skills.
- Proficiency in Microsoft Office Suite, Google Workspace, and other business productivity tools; experience with Canva, Adobe Acrobat, and AI tools is an asset.
- Self-motivated, adaptable, and able to work independently as well as collaboratively within a team environment.
Key Responsibilities
- Coordinate magazine production schedules and publication timelines, ensuring all content, advertising materials, approvals, and deliverables are completed on schedule.
- Manage communications with authors, advertisers, clients, partners, and contributors regarding submissions, revisions, proofs, approvals, artwork, deadlines, and publication requirements.
- Coordinate with graphic designers, contributors, international partners, and internal teams to obtain and manage articles, images, permissions, and other publication materials.
- Support business development initiatives through client communications, annual proposals, partnership opportunities, and stakeholder relationship management.
- Schedule meetings, coordinate calendars, prepare correspondence and reports, conduct research, and provide administrative and operational support to management and internal teams.
- Maintain organized records, databases, filing systems, and project documentation while supporting the continuous improvement of workflows and processes.
