Parts Administrator
Hop aboard as our Parts Administrator! Help keep our operations running like a well-oiled machine. From receiving and invoicing, to keeping our parts room easy to navigate, you’ll play a key role in making sure everything runs smoothly. You’ll lend a hand at the front counter when needed, and ensure our technicians get the right parts to keep units running strong. Most importantly, you’ll help us deliver an unbeatable customer experience that reflects our ELITE status every time.
For the first year, this role will also provide coverage for a Parts Associate on maternity leave. During this time, you’ll take a hands-on role in assisting customers with parts purchases in person, over the phone, and via email.
This coverage includes:
- Listening carefully to customers to understand their exact needs.
- Reading and interpreting parts diagrams to identify correct components.
- Accurately sourcing, ordering, and supplying parts.
- Handling incoming phone calls and responding to parts inquiries promptly and professionally.
This is a great opportunity to gain well-rounded experience in both the operational and customer-facing sides of our Parts Department.
What You’ll Be Doing as Parts Admin:
Parts Receiving
- Unpack, inspect, and verify all incoming parts for accuracy.
- Electronically receive parts into our inventory system to keep records precise and up to date.
Invoicing
- Accurately invoice the received parts into our system to ensure smooth billing and inventory tracking!
- Review all documentation and paperwork for completeness and accuracy before finalizing
Inventory Management
- Conduct regular cycle counts and spot checks to ensure accurate stock levels.
- Keep an eye on inventory trends and help maintain optimal parts availability.
Warranty Management
- Process and submit warranty claims accurately and in a timely manner.
- Inspect inventory and units to assess and identify potential warranty issues early on.
Organization and Cleanliness
- Keep the parts department tidy, organized, and easy to navigate for both techs and team members!
- Maintain the professional appearance of the parts counter and work area.
Parts Counter Support
- You'll be our safety net for the peak seasons!
- Continue assisting the front counter by helping customers both in store and over the phone as needed.
