Job Overview
We are seeking an experienced, detail-oriented Pharmacy Assistant to join our growing specialty pharmacy team. This is not an entry-level Pharmacy Assistant position. The successful candidate must have previous pharmacy experience and sufficient specialty pharmacy knowledge to confidently support patients, navigate a wide range of inquiries, troubleshoot issues, and determine the appropriate course of action in a fast-paced healthcare environment.
As an important patient-facing member of our team, you will often be the first point of contact, both in person and by telephone. You will be expected to investigate the reason for each patient inquiry, resolve concerns whenever possible within your scope of practice, or efficiently coordinate with the appropriate pharmacist or team member to ensure timely, seamless patient care.

Key Responsibilities
- Serve as the primary point of contact for patients, caregivers, physicians' offices, and other healthcare providers, both in person and by telephone.
- Listen carefully to patient concerns, investigate the reason for each call, troubleshoot issues, answer questions within your scope, and ensure concerns are resolved promptly or escalated appropriately.
- Navigate a wide variety of inquiries, including prescription status, refill requests, medication availability, insurance questions, patient support program coordination, and general specialty medication inquiries.
- Deliver exceptional customer service while maintaining professionalism, empathy, confidentiality, and a patient-first approach.
- Communicate effectively with pharmacists and other healthcare professionals to support continuity of care and positive patient outcomes.
- Assist pharmacists with the accurate preparation and dispensing of specialty medications using the Kroll paperless pharmacy management system.
- Maintain accurate patient records, prescription documentation, and workflow within the Kroll paperless system and the Accuro EMR.
- Support inventory management, medication ordering, and pharmacy operations.
- Ensure compliance with pharmacy standards, policies, and regulatory requirements.
- Maintain an organized work environment while effectively managing competing priorities in a busy specialty pharmacy.
Qualifications/Skills
- Minimum one year of experience using the Kroll pharmacy management system (required).
- Previous experience as a Pharmacy Assistant (required); specialty pharmacy experience is strongly preferred.
- Strong understanding of specialty medications, including biologics, biosimilars, and other advanced therapeutic medications.
- Excellent knowledge of medical and pharmaceutical terminology.
- Outstanding customer service and interpersonal skills with a professional and compassionate telephone manner.
- Demonstrated ability to investigate concerns, think critically, troubleshoot problems, and determine the appropriate next steps in a fast-paced environment.
- Ability to work independently in a patient-facing role while recognizing when pharmacist involvement is required.
- Excellent organizational skills with exceptional attention to detail and accuracy.
- Strong computer skills and experience working within a paperless workflow.
- Working knowledge of private insurance plans, Ontario Drug Benefit programs, and manufacturer patient support programs is considered an asset.
