Job purpose
The Executive Assistant and Office Coordinator provides comprehensive high-trust administrative and organizational support to ensure the efficient operation of the executive office and management team. The position plays a key role in supporting CEO’s priorities, coordinating Board activities, managing schedules and communications, and ensuring follow-through on critical initiatives. This role supports travel coordination and general office functions while maintaining a high level of professionalism, confidentiality, and attention to detail.
Duties and responsibilities
CEO Support
· Manage CEO’s calendar, including scheduling meetings, prioritizing requests, and resolving conflicts
· Coordinate internal and external meetings, including preparation of agendas and materials
· Track action items and ensure timely follow-up on key deliverables
· Prepare presentations, reports, announcements and correspondence for the CEO as necessary
· Prioritize communications and aligning requests to company priorities
· Arrange and coordinate all business travel for the CEO, including flights, accommodations, ground transportation, and itineraries, managing travel-related changes and resolving issues as they arise
· Coordinate travel arrangements for incoming guests, including transportation, accommodations, and on-site logistics as necessary
Support for Management Team
· Provide meeting support including scheduling, room setup, and coordination of materials
· Prepare agendas, presentations, and documentation as required
· Assist with follow-up on action items, projects and tracking deliverables
· Provide general administrative and travel assistance to the management team
Board of Directors Support
· Support Board Chair coordination and communication
· Assemble Board of Director packages and supporting documentation with input from management team
· Coordinate Board meetings, including scheduling and logistics
· Arrange meals, catering, and onsite meeting requirements
· Record, transcribe, and distribute meeting minutes
· Coordinate travel and accommodation arrangements for Board members as necessary
General Office & Team Support
· Provide administrative support for special events, company meetings, social committee, and internal initiatives
· Order and maintain office supplies and ensure adequate inventory levels
· Assist with office safety, Lean initiatives as well as overall organization and daily administrative tasks
· Support Customer Service, and front-office activities as required
Qualifications / Experience
· Post-secondary education in administration, business, or a related field preferred
· 5+ years of administrative or executive support experience
· Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint and Copilot)
· Excellent organizational and time management skills
· Strong written and verbal communication skills
· Ability to handle confidential information with discretion
· Highly detail-oriented with the ability to multitask and prioritize

Working conditions
Working hours are from 830am – 5pm, Monday to Friday, onsite at Crosslink Technology. Occasional extra hours may be necessary as per business requirements. Minimal travel may be necessary – 10%.
