Job Summary
Carbon Management Canada Inc. (CMC) is seeking a highly organized, detail-oriented, and versatile Administrative Coordinator to join our team for a term of up to 18-months for maternity leave coverage.
The Administrative Coordinator plays a key role in supporting research staff and leadership by supporting office operations, coordinating communications, and assisting with project expense and administration. This role is ideal for someone who thrives in a mission-driven, collaborative environment.
In this role, you will provide comprehensive administrative and operational support across all areas of the company from executive support, board coordination, communications assistance, travel planning, and basic financial administration. This position requires a proactive individual who can manage competing priorities, work across teams, and take initiative in a dynamic applied research environment. A willingness to learn and receive on-the-job training is essential.
Key Responsibilities
- Departmental & Executive Support: Manage executive and team calendars, including scheduling, coordination, and prioritization of meetings.
- Travel & Event Coordination: Arrange travel logistics including flights, hotels, ground transportation, and conference registrations. Provide administrative support for site events.
- Office Operations: Manage office operations including mail, couriers, supplies, basic bookkeeping tasks (invoicing, expense reports, data entry)
- Safety Committee: Support safety program administration, including documentation and communication.
- Digital Support & Communications: Assist the Communications team with website content management and social media.
- Other duties as required to support organizational priorities.
Key Responsibilities
- Experience with Microsoft Office Suite, SharePoint and Adobe
- Basic Bookkeeping experience particularly invoicing and expense processing and procurement procedures.
- Communications related to social media and website maintenance and content development.
- Experience in research, nonprofit, or technical organization is an asset.
