Job Overview: Branch Operations Lead
Insurance Car Rental is seeking a highly responsible and self-directed Branch Operations Lead to independently manage our location. This role is ideal for someone who thrives working autonomously, takes full ownership of operations, and can deliver exceptional service while coordinating all aspects of fleet management, customer interactions, and logistics while collaborating remotely with head office.
Responsibilities
Location Management
- Serve as the sole on-site operator responsible for the daily functioning of the branch.
- Manage opening, closing, and overall operational readiness of the location.
- Prioritize tasks and manage workload independently in a fast-paced environment.
- Act as the primary point of contact for customers, partners, and vendors.
- Maintain professional standards representing the company in the community.
Customer Service & Client Coordination
- Greet customers, process rentals, and clearly explain rental terms and insurance procedures.
- Handle inquiries, concerns, and service issues independently and professionally.
- Coordinate closely with insurance adjusters, towing companies, and body shops.
- Deliver exceptional service during vehicle pick-ups and returns.
Fleet & Vehicle Management
- Document vehicle condition and report damages promptly.
- Ensure all vehicles are fueled, organized, and ready for dispatch.
- Coordinate repairs, maintenance, and servicing with vendors.
- Monitor fleet availability and utilization to meet customer demand.
Dispatch & Logistics Coordination
- Manage rental dispatch to ensure timely deliveries and pick-ups.
- Coordinate vehicle movement between customers, repair facilities, and partners.
- Pick up and drop off vehicles as required.
- Adjust schedules dynamically based on urgent operational needs.
Administrative & Operational Duties
- Complete rental agreements, logs, and inventory checks accurately.
- Maintain organized digital and physical records using multiple software systems.
- Ensure compliance with company policies and documentation requirements.
- Communicate regularly with head office regarding operations, issues, and updates.
Requirements
- Valid Ontario G Class driver’s license with a clean driving record.
- Driver’s abstract required at time of hiring.
- Ability to work independently with minimal supervision.
- Availability for occasional weekends or on-call situations for urgent dispatch needs.
- Comfortable driving various vehicles (sedans, SUVs, minivans).
- Ability to lift 20–30 lbs and work outdoors in varying weather conditions.
- Experience in customer service, logistics, automotive, delivery, or rental operations is an asset.
