Job Overview
We are seeking a detail-oriented and organized Administrative Assistant to support our office operations. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency with various office software. Experience with medical or dental offices, bookkeeping, and multi-line phone systems will be considered a plus. Duties
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks as needed
- Maintain organized filing systems both electronically and physically, ensuring easy retrieval of documents
- Schedule appointments, coordinate meetings, and manage calendars for staff members
- Assist with bookkeeping tasks such as invoicing, billing, and basic financial record keeping
- Provide customer support by addressing inquiries via phone or email and ensuring excellent customer service standards
- Proofread correspondence, reports, and other documents for accuracy and clarity
- Support office operations by handling administrative tasks such as photocopying, faxing, and managing office supplies
Qualifications
- Proven experience in an administrative or clerical role; experience in medical or dental offices is preferred
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Strong computer skills including data entry, file management, and familiarity with multi-line phone systems
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional phone etiquette and customer service skills
- Attention to detail for proofreading documents and maintaining accurate records
- Ability to handle multiple responsibilities simultaneously in a fast-paced environment
- Previous experience with bookkeeping or medical/dental office procedures is a plus
- High school diploma or equivalent required; additional administrative training or certification is advantageous
Pay: $17.60-$18.00 per hour
