Job Overview
We are seeking an organized Office Assistant to support our administrative team. The ideal candidate will have strong clerical skills, proficiency in various office software, and good communication ablilities. This role involves managing daily office operations, assisting with data entry, and providing exceptional support to staff and clients. Prior experience in medical or dental offices is a plus, but not required, but prior office environment work is preffered for this position. The Office Assistant will play a vital role in maintaining efficient office workflows and ensuring a professional environment. This is a fulltime job, 5 days a week from 9-5 or 8 hours a day, it is a long term role for our company.
Responsibilities
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks as it is used as our main platform for invoicing
- Maintain organized filing systems, both on one-drive as well as paper copies
- Support administrative functions such as, managing calendars, and preparing correspondence
- Provide customer support by addressing inquiries via phone or email with proper phone etiquette
- Proofread documents for accuracy and clarity before distribution
- Perform general office duties including photocopying, scanning, and organizing files to ensure smooth daily operations
Qualifications
- Proven experience in an office environment with strong organizational skills
- Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and familiarity with QuickBooks, as it is our main software for invoices.
- Excellent computer skills with the ability to learn new systems quickly
- Prior office like job experience, bonus for those who have worked in clinics or dental clinics before.
- Proficient English
- Strong with professional phone etiquette and communication abilities
- Ability to handle multiple tasks efficiently while maintaining attention to detail
- High school diploma or equivalent required
Pay: $17.00-$20.00 per hour
