This role is essential in providing exceptional customer service, managing administrative tasks, and ensuring smooth daily operations at our office. The ideal candidate will possess strong clerical skills, proficiency with office software, and experience in customer support environments, including medical or dental offices. The Front Desk Coordinator will serve as the first point of contact for clients and visitors, handling inquiries with professionalism and efficiency.
Responsibilities
- Greet clients and visitors warmly, creating a welcoming environment
- Manage multi-line phone systems, directing calls appropriately and maintaining excellent phone etiquette
- Schedule appointments and manage calendars using Microsoft Office and Google Workspace tools
- Perform data entry tasks
- Handle filing, record keeping, and document proofreading to ensure organizational accuracy
- Assist with administrative duties such as mail distribution, photocopying, and maintaining office supplies
- Provide exceptional customer service by addressing inquiries promptly and professionally
- Maintain a clean and organized front desk area to promote a professional atmosphere
- Collaborate with team members to improve office procedures and enhance overall efficiency
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills with the ability to learn new software quickly
- Experience with data entry, filing systems, and clerical tasks in an office setting
- Excellent customer service skills with a friendly demeanor and professional phone etiquette
- Ability to handle multi-line phone systems efficiently
- Prior administrative or medical/dental office experience preferred, including familiarity with front desk operations and appointment scheduling
- Strong organizational skills with attention to detail for proofreading and document management
- Ability to prioritize tasks effectively in a fast-paced environment
- Demonstrated organizational skills with the ability to manage multiple responsibilities simultaneously
