Position Summary
The Medical Office Assistant (MOA) provides administrative and patient support services to ensure the efficient operation of the clinic. The MOA serves as the first point of contact for patients, clients, and corporate partners, coordinating appointments, managing patient records, processing private and third-party billing, and supporting occupational health services. Responsibilities include scheduling medical assessments, third-party appointments, pre-employment and occupational health examinations, communicating with employers and third-party agencies, and providing administrative support to physicians and healthcare professionals. The MOA works collaboratively with physicians, nurses, kinesiologists, and other clinic staff to deliver professional, accurate, and patient-centred service in a fast-paced clinical environment. Preference will be given to applicants located in the Vancouver area.
Key Responsibilities
- Greet and assist patients professionally
- Answer phone calls and respond to inquiries
- Schedule and confirm patient appointments using an EMR System (Med-Access or Myles)
- Maintain patient records and medical files electronically
- Process invoices, payments, and insurance documentation
- Handle referrals, forms, and correspondence
- Maintain accurate and confidential patient records
- Coordinate with physicians, healthcare providers and the clinic operations manager
- Ensure reception and waiting areas remain organized
- Follow clinic policies, privacy laws, and safety procedure
Qualifications
- Completion of a Medical Office Assistant program or equivalent experience
- Strong communication and customer service skills
- Knowledge of medical terminology preferred
- Experience using EMR systems preferred (Med-Access or Myles)
- Ability to multitask in a fast-paced environment
- Strong organizational and administrative skills
