Business Operations Coordinator – Bottles & Barrels

About Us
Bottles & Barrels is a fast-growing Ontario wine and spirits import agency with a curated portfolio of premium old world wines. We are known for precision, operational reliability, and low-bureaucracy execution. As we scale, this high-impact role will serve as central operational command, taking accountability of key responsibilities currently handled by the COO so the business can continue to grow smoothly and efficiently.
Key Responsibilities
1. Inventory & Supply Planning
- Own inventory control and forward planning to ensure we always have sufficient product on the way for steady reliability and continued growth.
- Monitor demand signals, coordinate with producers and the warehouse team, and maintain optimal stock levels.
2. LCBO Navigation & Compliance
- Manage producer communications to ensure full LCBO compliance.
- Handle day-to-day LCBO systems work, including product creation, purchase orders (POs), lab waivers, and any other processes required to keep workflow efficient.
- Submit products to tender through the NISS LCBO system.
- Serve as liaison with LCBO buyers — discuss promotional programs and prepare/submit presentations for tendered products.
3. Client Communication, Visibility & Coordination
- Execute email marketing campaigns to keep clients (licensees, restaurants, golf clubs, etc.) informed with timely updates.
- Maintain and update the company website so it accurately reflects current product reality and offerings.
- Manage company calendars and stay well ahead of scheduled events and commitments.
- Run reports and calculate retail and wholesale pricing based on landed costs.
Qualifications
- Recent business graduate (or equivalent) with demonstrated high capacity, strong accountability, and attention to detail.
- Excellent organizational and communication skills; comfortable handling multiple priorities in a lean, fast-moving environment.
- Systems-oriented with the ability to learn LCBO processes (NISS, tenders, compliance) quickly and accurately.
- Proficiency in basic digital tools (Google Sheets/Excel, email, calendars, website CMS).
- Genuine interest in the wine/spirits industry and a desire to contribute to a growing, precision-focused business.
- Based in the Toronto area with reliable transportation to the office/warehouse.
