Poly B Plumbing Guys is growing and looking for a reliable, organized Scheduler / Appointment Coordinator to join our team.
We specialize in Poly-B plumbing replacement projects and help homeowners through the process from estimate to completion. This role is a key part of keeping jobs moving, clients informed, and our field crews organized.
Position Overview
The Scheduler will be responsible for booking appointments, coordinating customer schedules, communicating with technicians and subcontractors, and helping ensure each project runs smoothly from start to finish.
This is a fast-paced role that requires strong communication, attention to detail, and the ability to stay organized while managing multiple moving pieces.
Responsibilities
- Schedule client appointments, estimates, inspections, and project start dates
- Confirm appointments with customers by phone, email, and text
- Coordinate technician and subcontractor schedules
- Update job details and notes in our project management system
- Communicate daily arrival times and schedule changes to customers
- Help manage project timelines and follow-ups
- Work closely with sales, office staff, plumbers, drywall crews, and management
- Provide friendly, professional customer service
- Keep clients updated if timelines change
- Assist with permits, job files, and general office coordination as needed
Qualifications
- Previous scheduling, dispatching, admin, or customer service experience preferred
- Strong phone, email, and texting communication skills
- Highly organized and detail-oriented
- Comfortable using computers and scheduling software
- Able to handle a busy, fast-moving environment
- Professional, friendly, and calm under pressure
- Experience in construction, trades, plumbing, restoration, or home services is an asset
- Experience with JobTread or similar software is an asset but not required
