Overview
We are seeking a professional and organized Receptionist Cum Designer ( we will train) to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing excellent customer service and ensuring smooth office operations. This role requires strong communication skills, attention to detail, and proficiency with various office software. . The Receptionist will play a vital role in maintaining an efficient and welcoming environment for clients, staff, and visitors.
Duties
- Greet visitors and clients in a friendly, professional manner at the front desk
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and coordinate calendars using Microsoft Office and Google Workspace tools
- Perform data entry tasks accurately using QuickBooks, spreadsheets, and other office software
- Handle filing, record keeping, and document management to ensure organized records
- Assist with administrative tasks such as photocopying, proofreading documents, and preparing correspondence
- Support customer service efforts by addressing inquiries via phone or in person with professionalism and courtesy
- Maintain a clean and organized reception area to create a welcoming atmosphere
- Support bookkeeping and billing processes when necessary
Skills
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills including data entry, typing, and basic troubleshooting
- Experience with QuickBooks or similar accounting software is preferred
- Excellent organizational skills with keen attention to detail and accuracy
- Strong communication skills including phone etiquette and customer support experience
- Ability to handle multiple tasks efficiently in a fast-paced environment
- Clerical experience or administrative background highly desirable
- Ability to manage filing systems effectively and maintain confidentiality of sensitive information
- Proven ability to proofread documents for accuracy and professionalism
