Job Summary
We are seeking a highly organized and detail-oriented Medical Office Administrator to oversee daily operations within our healthcare facility. The ideal candidate will manage administrative tasks, coordinate patient services, and ensure smooth functioning of the medical office. This role requires excellent communication skills, familiarity with electronic medical records, and experience in medical or dental office settings. The Medical Office Administrator will play a vital role in supporting clinical staff and enhancing patient experience through efficient administrative management.
Responsibilities
- Manage patient scheduling, registration, and check-in/check-out processes using electronic medical records systems such as Dentrix.
- Handle billing, coding, and insurance claims processing accurately and efficiently.
- Maintain and update patient records while ensuring compliance with HIPAA regulations.
- Supervise administrative staff, including training new team members and overseeing daily workflow.
- Coordinate communication between patients, healthcare providers, and external vendors or insurance companies.
- Assist with human resources functions such as staffing schedules, onboarding new employees, and maintaining personnel files.
- Support budgeting activities related to office supplies, equipment, and staffing needs.
- Ensure the office environment adheres to safety protocols and infection control standards.
- Collaborate with clinical staff to facilitate smooth operations within the practice or hospital setting.
Experience
- Prior experience working in a medical office environment is highly preferred.
- Proficiency with electronic medical records systems is essential.
- Knowledge of medical terminology, billing procedures, and insurance processes is required.
- Supervisory experience managing administrative or support staff is advantageous.
- Experience in human resources functions such as staffing, training, or employee relations is a plus.
- Background working in hospital settings or acute care environments is beneficial.
- Familiarity with budgeting processes related to healthcare operations is desirable.
- Nursing or healthcare-related educational background can enhance candidate suitability.
