About the Role
We are seeking a detail-oriented Office Administrator with strong accounting experience to support our growing engineering firm. This is a key position responsible for managing day-to-day office operations while supporting accounting, payroll, and administrative functions.
The role can be structured as part-time for the right candidate, with the potential to transition to full-time hours for someone with strong experience and the ability to take on additional responsibilities.
This position is ideal for someone who enjoys balancing accounting responsibilities with broader office coordination in a professional services environment.
Key Responsibilities
Accounting & Finance
- Manage Accounts Payable and Accounts Receivable
- Perform account reconciliations and support financial record-keeping
- Process invoices, track collections, and follow up on outstanding balances
- Assist with payroll processing and maintain accurate employee records
- Enter and maintain data in Deltek Ajera (experience preferred)
Administration & Office Operations
- Oversee daily office operations including phones, mail, filing, and general organization
- Maintain and improve administrative systems and workflows
- Proofread reports and assist with document preparation
HR & General Support
- Assist with employee onboarding and HR record-keeping
- Support internal team coordination and general administrative needs
Qualifications & Experience
- Minimum 3+ years experience in an accounting or bookkeeping role (AR/AP, invoicing, payroll)
- Experience with Deltek Ajera is an asset; QuickBooks Online is a strong plus
- Advanced proficiency in Microsoft Excel and Word
- Strong attention to detail and accuracy
- Ability to manage multiple priorities and deadlines
- Excellent communication and interpersonal skills
- Self-motivated with the ability to work independently
- Valid Ontario Driver’s License
