Program Manager
We are a full-service event management company specializing in customized event planning and execution, with a primary focus on corporate and association conferences. Our clients rely on us to deliver exceptional experiences across Canada, with many of our events rotating annually between cities and provinces.
We are seeking an experienced, highly organized, and client-focused Program Manager to lead the planning and execution of large-scale conferences ranging from 250 to 750 delegates. This role is ideal for a professional who thrives while multi-tasking, enjoys managing complex projects, and is passionate about delivering exceptional event experiences from concept to completion.
As a Program Manager, you will oversee a portfolio of conferences and events while serving as the primary client contact. You will provide strategic guidance, manage project teams, and ensure the successful delivery of every event while maintaining the highest standards of client service, operational excellence, and financial stewardship.
Program & Event Leadership
- Lead the planning and delivery of multiple conferences and events simultaneously, ensuring all projects are completed on time, on budget, and aligned with client objectives.
- Develop and manage comprehensive project plans, timelines, budgets, and key milestones.
- Provide strategic recommendations and creative solutions to clients throughout the planning process.
- Identify risks, anticipate challenges, and implement solutions to ensure successful event outcomes.
- Oversee event portfolios from initial planning through post-event evaluation and financial reconciliation.
Client & Stakeholder Management
- Serve as the primary liaison for clients, building and maintaining strong, long-term relationships.
- Facilitate planning meetings and provide proactive communication throughout the event lifecycle.
- Advise clients on event strategy, attendee experience, budget management, and operational planning.
- Collaborate with boards, committees, sponsors, exhibitors, speakers, and industry partners to achieve program goals.
Event Logistics & Operations
- Oversee all logistical aspects of conferences and events, including:
- Registration and attendee management
- Accommodation and room block management
- Food and beverage planning
- Audio-visual production
- Speaker and program coordination
- Venue management
- Transportation and on-site logistics
- Vendor sourcing and contract negotiation
- Ensure all event elements are delivered to the highest quality standards and exceed client expectations.
Sponsorship & Revenue Management
- Support and oversee sponsorship and exhibitor sales initiatives
- Manage sponsor and exhibitor fulfillment, ensuring all contracted deliverables are executed accurately and professionally.
- Develop and maintain positive relationships with sponsors, exhibitors, and strategic partners.
Team Leadership & Event Delivery
- Lead and mentor event coordinators, contractors, and on-site event teams.
- Coordinate resources across multiple projects to ensure successful execution.
- Provide leadership during on-site event operations, ensuring a seamless experience for delegates, sponsors, and stakeholders.
- Conduct post-event evaluations and develop recommendations for future improvements.
Qualifications & Experience
- Minimum of 5 years of experience managing large-scale association or corporate conferences, preferably within an event management agency or third-party planning environment.
- Post-secondary degree or diploma in Event Management, Business Administration, Marketing, Communications, or a related field, or an equivalent combination of education and experience.
- Demonstrated experience managing conference budgets exceeding $500,000.
- Strong understanding of conference operations, stakeholder engagement, sponsorship management, and event technology platforms.
- Experience with virtual and hybrid events is considered an asset.
- Exceptional organizational, project management, and problem-solving skills.
- Outstanding communication, presentation, and client service abilities.
- Ability to manage multiple projects and competing priorities while maintaining exceptional attention to detail.
- Professional, responsive, and adaptable in a dynamic environment.
- Willingness and ability to travel throughout Canada as required.
- Bilingualism (English/French) is considered an asset.
Compensation & Benefits
- Competitive salary of $75,000–$90,000, commensurate with experience.
