Job Summary
Banner Environmental Engineering Consultants Ltd. is currently recruiting for a Office and Accounting Administrator to join our team. This will be a full time position based in the firm's office located in Diamond Valley.
The Office & Accounting Administrator plays a central role in supporting daily business operations, providing administrative leadership, and ensuring accurate, timely financial record‑keeping. This role is ideal for a highly organized, detail‑oriented professional who can manage bookkeeping tasks, coordinate office activities, support staff and management, and maintain efficient internal systems.
Key Responsibilities:
- Process accounts payable and accounts receivable, including invoice coding, data entry, reconciliation, and payment preparation.
- Maintain and update accounting records in QuickBooks (or applicable software), ensuring accuracy and proper documentation.
- Manage employee timesheet and employee expense submissions: review, verify, code, and coordinate approvals.
- Reconcile bank, credit card, and petty cash accounts monthly.
- Assist in preparing weekly financial reports, balance sheets, cash flow updates, and month‑end packages for management.
- Track GST, prepare remittances, and assist with year‑end documentation as required.
- Coordinate with external accountants, bookkeepers, or auditors to provide required records and financial information.
- Manage insurance renewals, including gathering required documentation, coordinating with brokers, updating company records, and ensuring timely submission.
- Oversee general office operations, including supplies, mail, filing systems, vendor coordination, and maintaining organized administrative processes.
- Maintain staff records, certifications, onboarding documents, and employment files.
- Support management with scheduling, meeting preparation, correspondence, and document organization.
- Assist in creating, updating, and maintaining company forms, logs, templates, and internal documents.
- Serve as the first point of contact for phone calls, visitors, clients, and external partners.
- Coordinate travel arrangements, training bookings, and registrations when required.
- Oversee fleet management, including tracking vehicle maintenances, registrations, insurance, mileage logs, scheduling service appointments and maintaining accurate fleet records.
- Assist with onboarding activities including paperwork, setup coordination, and training tracking
- Maintain confidential employee files in compliance with company policy.
- Track staff hours, assist with payroll preparation support (timesheets, coding, documentation), and liaise with management for approvals.
- Maintain organized digital and physical filing systems for administrative, financial, and regulatory documents.
- Support safety and compliance documentation tracking where needed.
- Ensure document retention practices are followed according to company procedures
Qualifications / Requirements:
- 2–5 years of experience in office administration, bookkeeping, or accounting support roles.
- Diploma or certification in Business Administration, Accounting, or a related field
- Proficiency with QuickBooks Desktop/Online or similar accounting software.
- Strong skills in Microsoft Office (Word, Excel, Outlook), digital filing, and record management.
- Excellent attention to detail, organization, and ability to manage multiple priorities.
- Strong interpersonal skills with the ability to communicate professionally with staff, clients, and vendors.
- Construction Experience considered an asset
- Ability to multi-task and self motivate
- Valid Class 5 Driver’s License, acceptable driving record with 3 years driving experience
- Desire to work in a fast-paced, solutions based, Consulting Engineering environment with a focus on personal growth and willing to accept new and challenging assignments.
- A positive attitude and ability to work independently and as part of a team.
- Excellent communication skills, both verbal and written.
