Summary
This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while ensuring CompreMed’s service standards are consistently met. The successful candidate will apply knowledge of medical terminology, assessment types, organizational policies, and client/provider protocols to support efficient IME operations.
The role requires effective communication both electronically and verbally, along with a strong commitment to providing exceptional customer service.
Reporting To: Operations Manager, supporting the Operations Manager and IME Co-ordinators.
Location: Corporate Office: 110 Matheson Blvd W Ste 110, Mississauga, ON L5R 4G7 with potential for hybrid position (up to 2 days in office per week) post probationary period.
Hours: 9:00 a.m.-4:00 p.m. / 3 days per week.
Salary: $22- $25/hour
Key Responsibilities
The IME Support Coordinator will support the IME process by coordinating various aspects of the referral and assessment workflow, including:
IME Process Support
· Assist the Operations Manager and IME Coordinators with day-to-day administrative activities.
· Provide direct communication and support to clients, healthcare providers, employees, and claimants throughout the IME process.
· Complete referral intake activities, including reviewing referrals to ensure alignment with the requested mandate, diagnoses, and supporting information.
· Escalate referral questions or discrepancies to the Operations Manager or IME Coordinator as required.
· Prepare and distribute assessment quotes to clients and/or IME Coordinators.
· Coordinate appointment bookings and distribute confirmations to all required parties.
· Ensure medical documentation is collected, organized, and provided to providers within established timelines.
· Monitor outstanding tasks and reports using the abeyance tracking system.
· Distribute completed reports to clients and follow up on outstanding reports.
· Maintain tracking spreadsheets, databases, and internal communication tools.
· Monitor and follow up on incoming mail and email correspondence.
· Coordinate auxiliary services, including travel arrangements, accommodations, and translation services, in accordance with company policies.
· Request invoices and support payment processing, including EFT and electronic transfer collection.
Provider & Database Support
· Assist with sourcing rostered providers and identifying potential new providers to support provider network growth.
· Maintain and update provider databases, certifications, and related documentation.
· Support IME Coordinator functions during absences, as directed by the Operations Manager.
Administrative & Operational Support
· Utilize various computer applications and systems, including:
· Microsoft Office Suite (Outlook, Word, Excel, Teams)
· Customized internal databases
· Secure document management systems
· SR Fax
· Healthcare college websites and online resources
· Provide marketing and administrative support as directed by the Operations Manager.
· Assist with special projects, including database updates, audits, and certification tracking.
· Perform scanning, auditing, and general office support duties as required.
· Complete other job-related duties as assigned.
Required Skills & Qualifications
· Experience in healthcare administration or a related office environment.
· Knowledge of medical terminology and healthcare processes.
· Strong proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams.
· Excellent verbal and written communication skills with professional telephone etiquette.
· Strong organizational skills with the ability to prioritize and manage multiple tasks.
· High attention to detail and accuracy.
· Ability to follow established policies, procedures, and workflows.
· Strong customer service skills, including the ability to manage challenging conversations professionally.
· Ability to problem-solve and make decisions within established guidelines.
· Ability to work independently while contributing effectively within a team environment.
· Willingness and ability to learn new systems and processes.
· Commitment to privacy and confidentiality requirements, including PHIPA and PIPEDA compliance.
· Strong work ethic, positive attitude, and commitment to service excellence.
· French language proficiency is considered an asset.
· OPS clearance required (arranged by CompreMed).
