Y.S.B. is looking for Project Coordinator with critical thinking skills who would be managing the day-to-day flow of information between general contractors and Y.S.B. (RFIs, Submittals) while also processing project financials (Billing, AR, and Compliance)
Responsibilities
- Document Control: Manage the RFI and Submittal process, ensuring the site teams’ schedule is always updated for all ongoing projects, including documentation such as WCB clearance letters, Insurance certificates, and safety certificates. Systematically organize and maintain physical and electronic project folders, ensuring all compliance, contracts, and admin files are accurate and audit ready.
- RFI and Submittal: Coordinate the flow of technical documents between Y.S.B. head office, consultants, and the site team.
- Trade Coordination: Communicate with Y.S.B. Operations Manager regarding schedules and scope changes, and if necessary, update the site teams
- Submittals: Collecting from suppliers' drawdowns (samples of colours, technical data sheets, and MSDS), and submitting them to the client for approval
- Purchase Orders: issuing POs for materials and services.
- Change orders: processing them and coordinating them with Y.S.B. Operations Manager.
- Schedule updates: assisting in updating the project timeline based on progress
- Procurement: Tracking material orders
- Progress Draws: Prepare monthly progress billings (draws) in Excel, track Holdbacks, and submit statutory declarations.
- Budget Tracking: Tracking expenses against the budget.
- Closeout: Compile close-out documentation such as warranties, maintenance manuals from suppliers, and communicate the ongoing projects' deficiency list to Y.S.B. Operations Manager.
- Accounts Receivable: Oversee project billing, ensuring incoming payments align with submitted progress draws, and follow up on outstanding invoices.
- Compliance: Ensure all Statutory Declarations (Stat Decs) and WCB clearance letters are current before releasing payments.
- Budget Tracking: Input approved Change Orders into the budget and assist with cost-to-complete tracking.
Qualifications
- 2 years of experience in construction administration in BC.
- Financial Literacy: Understanding how construction billing works (Holdbacks, Progress Claims, CCDC contracts).
- Software: Proficient in Excel (formulas/tracking) and construction software (e.g., Procore, Bluebeam).
- Education: A degree in Engineering, Business, or Architecture is preferred.
- Blueprint Reading: Understanding how to read architectural and engineering drawings.
- Understanding of CCDC contracts and basic construction accounting principles is essential
