Job Overview
We are seeking a friendly, professional, and highly organized Front Desk Receptionist to join our team. As the first point of contact for clients and visitors, the successful candidate will play a key role in creating a positive and welcoming experience while providing administrative support to our lawyers and staff. This position requires excellent communication skills, strong attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Responsibilities
- Greet clients, visitors, and couriers in a professional and welcoming manner.
- Answer and direct incoming telephone calls and emails.
- Schedule appointments, meetings, and boardroom bookings.
- Maintain reception and client waiting areas to ensure a professional appearance.
- Obtain client identification and assist with client intake procedures.
- Open new client files, conduct conflict searches, and maintain accurate records.
- Receive and process payments for accounts.
- Receive, sort, and distribute incoming mail and courier packages.
- Prepare outgoing mail, courier packages, and other deliveries.
- Assist with file management, scanning, photocopying, and document organization.
- Provide administrative support to lawyers and staff as required.
- Assist with data entry and maintaining client databases.
- Coordinate office supplies and assist with general office administration.
- Provide support for special projects and other administrative duties as assigned.
Qualifications & Skills
- Legal Administrative Professional Certificate or related administrative education is considered an asset.
- Previous reception, customer service, or administrative experience preferred.
- Exceptional interpersonal and customer service skills.
- Strong verbal and written communication skills.
- Professional appearance and demeanor.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel.
- Experience with ESI Law, Unity Accounting, or similar legal software is considered an asset.
- Excellent organizational skills and ability to prioritize competing demands.
- Strong attention to detail and commitment to accuracy.
- Ability to maintain confidentiality and exercise discretion.
- Reliable, dependable, and able to work independently as well as part of a team.
