Position Summary:
The Manager, Cash Management is responsible for overseeing the cash management operations of Arctic Co-operatives Limited (Arctic Co-ops), Arctic Co-operative Development Fund (ACDF), and all Iqaluit-based subsidiaries. This role ensures timely collection of receivables, accurate invoicing, efficient payment processing, and compliance with internal policies and financial regulations.
This position works closely with internal and external stakeholders, including banking partners, to optimize cash flow, improve working capital, and maintain strong financial processes.
This position reports to the Director, Finance.
Duties and Responsibilities
Collections Management
- Oversee the accounts receivable collection, including the Member Co-op Collections Program and Litigation Collection Program.
- Monitor aging reports and implement collection strategies to reduce delinquent accounts.
- Develop and maintain collection policies, procedures, and performance metrics.
- Work with internal departments and customers to resolve billing disputes and payment issues.
- Escalate high-risk or overdue accounts as required.
Billing and Accounts Receivable
- Oversee the preparation and distribution of customer invoices to ensure accuracy and timeliness.
- Review billing processes and recommend improvements to increase efficiency and reduce errors.
- Ensure all customer accounts and billing records are maintained accurately.
- Oversee reconciliation of accounts receivable balances.
Vendor Disbursement and Accounts Payable
- Manage vendor payment processes, including payment scheduling and approvals.
- Ensure vendor disbursements are completed accurately and within payment terms.
- Coordinate electronic payments, wire transfers, and other payment activities.
- Oversee the Visa Payable Automation program
- Oversee reconciliation of the various credit card programs (e.g. Visa, Amex) and miscellaneous vendor accounts.
- Assist with SAP Concur (accounts payable platform) administration.
- Maintain strong internal controls over payment processing.
Banking and Treasury Management
- Maintain relationships with banks and financial institutions.
- Oversee banking operations, including account maintenance, signatory management, and online banking administration.
- Coordinate the opening, closing, and updating of corporate bank accounts.
- Monitor banking services, fees, and other treasury products (e.g. GICs) to ensure cost-effective operations.
- Support the organization in securing commercial financing, credit facilities, and other banking arrangements.
- Coordinate financing documentation and compliance requirements with lenders and financial institutions.
- Manage banking resolutions, authorized signatories, and related documentation.
- Ensure compliance with banking policies, covenants, and internal controls.
Cash Flow and Financial Management
- Monitor cash balances and support daily cash positioning activities.
- Support cash flow forecasting and liquidity planning.
- Analyze cash management trends and provide recommendations to improve working capital.
- Prepare management reports related to collections, receivables, disbursements, and cash flow.
- Supervise month-end and year-end financial close activities.
Leadership and Process Improvement
- Supervise and support AR/AP and collections staff.
- Establish performance goals and provide coaching and development to team members.
- Identify opportunities for efficiencies and improve cash management processes.
- Ensure compliance with company policies, accounting standards, and regulatory requirements.
- Collaborate with auditors and support audit requests related to cash operations.
Qualifications
- Bachelor’s degree in Finance, Accounting, Business Administration, or related field.
- 5+ years of experience in treasury, cash management, accounts receivable, billing, or related finance functions.
- Previous supervisory or management experience preferred.
- Strong understanding of cash management principles, collections processes, and payment operations.
- Experience with ERP systems and financial software.
- Advanced Microsoft Excel and reporting skills.
- Knowledge of banking platforms, electronic payment systems, and reconciliation processes.
- Strong analytical and problem-solving skills.
