About Musqueam
We are traditional hən̓q̓əmin̓əm̓ speaking people. Today, we are a strong, growing community of over 1,300 members. We live on a small portion of our traditional territory, known as the Musqueam Indian Reserve, located south of Marine Drive near the mouth of the Fraser River. The name Musqueam relates back to the River Plant, the name of the plant is məθkʷəy̓. There is a story that has been passed on from generation to generation that explains how we became known as the xʷməθkʷəy̓əm (Musqueam) - People of the River Plant. We have always moved throughout our territory using the resources it provides for fishing, hunting, trapping and gathering. We remain distinct and our cultural practices are strong, despite the devastating impacts of residential schools, colonial laws banning our ceremonies, and other attempts to assimilate our people. Our lands and waters continue to support our cultural and economic practices while serving as a source of knowledge and memory, encoded with our teachings and laws. Position Summary
Reporting to the Fisheries Manager, the Administrative Assistant, Musqueam Fisheries Department assists in the administration of the Fisheries Program of the Musqueam Indian Fisheries Commission. The incumbent provides comprehensive administrative, financial, and operational support to the department and is responsible for assisting with budget administration, monitoring expenditures, preparing reports, coordinating meetings, and maintaining effective office systems. The Administrative Assistant reports directly to the Fisheries Manager on budgetary, administrative, and operational matters and ensures departmental practices align with Musqueam Indian Band policies and procedures. This is an undefined term position that provides temporary coverage while the permanent employee is on leave. The position will remain in place until the incumbent returns or the temporary staffing requirement ends.
Roles and Responsibilities
- Provides comprehensive administrative support to the Musqueam Fisheries Department, including office management and operational administration.
- Assists with the preparation, administration, and monitoring of the Fisheries Department budget under the direction of the Fisheries Manager.
- Ensures that departmental expenditures comply with the approved budget.
- Prepares and submits narrative and financial reports accurately and within required timelines, as directed by the Fisheries Manager.
- Prepares meeting agendas, briefing materials, and meeting packages; records and transcribes meeting minutes; coordinates travel arrangements; prepares correspondence, weekly reports, and notices; and performs filing, copying, room bookings, and other administrative duties.
- Ensures that departmental administrative activities comply with administrative policies.
- Develops and maintains a departmental filing system.
- Coordinates the ordering and maintains the inventory of office and other supplies for the Fisheries Department.
- Prepares and distributes designation cards.
- Prepares and arranges for distribution of community notices as required.
- Develops and maintains positive working relationships with colleagues, subordinate staff, outside governments, agencies, boards, and industry.
- Performs other related duties as required.
Knowledge, Skills and Abilities
- Completion of Grade 12, supplemented by coursework in Business Administration, Financial Management, Habitat/Wildlife Management, or a related field, plus a minimum of three years of administrative or program support experience; or an equivalent combination of education, training, and experience.
- Knowledge and experience of similar program delivery in the context of Musqueam or First Nations culture and history.
- Ability to note take and transcribe meeting minutes of commission meetings, community meetings, and negotiations.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and other software required for departmental operations.
- Ability to administer an efficient and effective Fisheries Program.
- Ability to develop, and operate within, annual departmental budgets and monitor departmental expenditures.
- Ability to use tact and good judgement in dealing with sensitive and complex issues.
- Ability to maintain confidentiality.
- Successful criminal record check.
- Valid driver's license and access to a vehicle for work purposes.
