Allied Psychological Services (APS) is an association of professionals with a diverse range of experience and expertise in areas including Clinical and Forensic Psychology Services/High-Risk Behavioral Needs for youth and adults. We provide professional services to individuals, families, lawyers, community partners including provincial and federal government.
Our team of Psychologists, Psychological Associates, and Allied Mental Health professionals provide a wide range of clinical services, encompassing everything from Anti-Black Racism Therapy to WSIB/MVA, general mental health, intimate partner violence, selection and forensic psychological assessment and interventions.

The Administrative Support/Assistant to the Directors plays a vital role in our practice by providing general administrative support, and providing support to the Client Services Coordinator/Contract Manager. This position requires a proactive, detail-oriented, compassionate, and multitasking individual.
Key Responsibilities/Administrative Duties:
- Greet and assist patients, ensuring a warm and welcoming environment.
- Manage appointment scheduling, confirmations, and follow-ups.
- Maintain accurate patient records and ensure confidentiality.
- Handle phone calls, emails, and other communications promptly and professionally.
- Coordinate with healthcare providers to ensure smooth patient flow.
- Assist with billing, and payment processing.
- Order and manage office supplies.
- Scanning notes, paperwork and managing files.
- Assist with organizing large group projects, booking, making sure testing materials are available, arranging scoring, management of files and summary sheets. Need to be able to understand each project.
- Test proctoring on-site, off-site and online.
- Manage contracts, once set up making sure systems are in place and contractors are working as they should.
- Downloading files and preparing files for evaluations.
- Track requests for catastrophic assessments.
- Uploading files (hardcopy testing and handwritten notes) to electronic system.
- Assist with calling lawyers/agencies for files and making sure files are complete and uploaded into our management system.
- Ensure all patient information is entered accurately into our management system.
- Assist Client Services Coordinator/Contract Manager with the coordination of services.
- Other duties as requested.
Qualifications:
- College or bachelor’s degree is psychology or related field is preferred.
- Experience with intake healthcare and administrative roles.
- Excellent communication and interpersonal skills.
- Proficient in SharePoint, Microsoft Office.
- Strong organizational skills and attention to detail.
- Ability to work independently and as part of a team.
- Compassionate and patient-focused attitude.
- Proficiency in English, both written and verbal.
- Driver's licence, ability to work at our other locations, if needed
Requirement: Police Reference Check and Protected B Security Clearance (we will arrange, but must be able to obtain security clearance)
