Lara MacInnis Design is a collaborative Toronto residential design studio creating thoughtful, highly detailed homes. We're looking for an exceptionally organized Project Coordinator who enjoys bringing clarity to complex projects and helping thoughtful residential renovations move from design through construction with care and attention to detail.
Working closely with the Principal, you will coordinate projects from design through completion, supporting a seamless experience for clients, consultants, suppliers, trades, and the studio team.
This role offers increasing responsibility as you develop a deep understanding of our projects, clients, and ways of working. We're looking for someone who enjoys contributing ideas, improving processes, and becoming a trusted part of a small, collaborative studio.
Key Responsibilities
- Coordinate communication between clients, consultants, suppliers, contractors, and trades.
- Attend client, consultant, and site meetings, synthesizing decisions and distributing clear action items and project updates.
- Track project progress, outstanding decisions, approvals, procurement, and completion items.
- Maintain organized project records and ensure current information reaches the right people at the right time.
- Follow up proactively with trades, suppliers, and consultants to keep projects moving and ensure nothing falls through the cracks.
- Manage procurement, deliveries, project logistics, and the studio's sample library alongside the Accounts Manager.
- Contribute to the ongoing refinement of the studio's operational systems, workflows, and client experience.
About You
- Exceptionally organized, detail-oriented, and an excellent communicator.
- Calm, proactive, persistent, and resourceful, with a natural instinct to follow through.
- Comfortable managing many moving parts while maintaining accuracy and a positive attitude.
- Enjoy improving systems, bringing order to complexity, and helping others stay organized.
- Comfortable learning new software and embracing new ways of working.
- Curious, adaptable, and eager to learn and grow.
- Minimum 3–5 years of experience in a fast-paced, detail-driven role — this could be project coordination, operations, architecture, or interior design, but could equally be hospitality, event planning, high-end administrative work, or another client-facing, multi-moving-parts environment. What matters most is a proven ability to juggle many priorities, communicate clearly under pressure, and follow through reliably — the specific industry matters less than the skill set.
- Construction knowledge is helpful but not essential — we're looking for someone with sound judgment, initiative, and a genuine desire to grow with the role.
- Valid driver's license required. Access to a vehicle is ideal but not required — a car can be arranged (e.g. rental) as needed for site visits and errands.
Location & Schedule
- This is a part-time role based in Toronto, approximately 24 hours per week, with flexibility in how those hours are scheduled.
- Minimum of 3 days per week in our studio, located near Dupont and Ossington, with regular travel to project sites and suppliers around the city.
- Some remote work is possible once you're familiar with our projects, systems, and ways of working.
Compensation
This is a part-time position, paid hourly at a rate commensurate with experience, generally in the $24–$33 CAD/hour range (roughly $30,000–$41,000 annually at 24 hours/week). Candidates newer to project coordination should expect the lower end of this range; those with more relevant experience (design, architecture, construction, or operations) can expect the higher end. We're happy to discuss specifics based on your background.
