Project & Property Operations Coordinator
Job Description
The Project & Property Operations Coordinator will manage the day-to-day operations of the company's office and properties, coordinate projects as the owner's representative, and oversee the technical maintenance of kinetic art installations. This role blends property administration, project coordination, technical oversight, and content development. It is designed as a "Project Officer" type role, acting as the central coordinator between the owner, contractors, technical teams, and business stakeholders.
Main Duties & Responsibilities
Property & Office Administration: Manage the day-to-day operations of company office and properties. Coordinate maintenance, cleaning, security, and vendor services. Inspect properties regularly, address issues promptly, and ensure compliance with health, safety, and building regulations. Maintain records of leases, contracts, repairs, and expenses.
Owner Representation & Project Coordination: Act as the authorized representative of the owner on all projects. Coordinate project activities including timelines, budgets, contractor selection, permitting, and quality control. Prepare progress reports and ensure projects are delivered on time and within budget. Serve as the primary liaison between the owner, contractors, and stakeholders.
Kinetic Art Installation Oversight: Coordinate the assembly, disassembly, maintenance, and repair of kinetic art installations. Liaise with technical specialists to diagnose issues, source replacement parts, and schedule repairs. Ensure minimal operational disruption during maintenance activities.
Content Design & Development: Design and develop content for the company's business, including operational manuals, promotional materials, website content, and visual documentation. Capture professional photographs of properties, kinetic art, and company assets for marketing and records.
Hospitality & Service Standards: Apply hospitality management principles to ensure a high standard of presentation and service across all company properties and client touchpoints. Train staff in service excellence and manage client/guest relations.
Cross-cultural Communication: Utilize Indonesian language skills to engage with Indonesian-speaking clients, partners, suppliers, and staff. Facilitate business relationships and cultural bridging.
Education & Experience Requirements
- Diploma or degree in property administration, hospitality management, business administration, or a related field
- Minimum 2 years of experience in property administration, project coordination, or operations management
- Minimum 2 years of hands-on experience in technical troubleshooting, assembly, and maintenance of mechanical/electronic systems
- Experience in an IT company or technology-driven environment is required
- Formal education or study in hospitality is an asset
- Fluency in Indonesian language is highly beneficial
- Demonstrated project coordination and owner representation experience
- Technical aptitude or experience overseeing mechanical/electronic installations is an asset
- Photography skill is an asset for documentation and content creation
Pay: From $20.00 per hour
