We are seeking an experienced Project Coordinator to manage projects related to the service and installation of commercial refrigeration equipment. Reporting directly to the CEO, the Project Coordinator will assist in general project management, identifying and resolving potential roadblocks, and ensuring smooth communication across all stakeholders. This position requires a highly organized, detail-oriented individual with strong project management.
Key Responsibilities:
Project Coordination:
- Collaborate closely with the President o support general project management activities.
- Proactively identify and address potential project roadblocks to ensure resolving 90% of issues within 48 hours.
Project Documentation:
- Develop and maintain comprehensive project documents, schedules, and budgets using project management software.
- Regularly update project documents to reflect current progress so that at any time the CEO can rely on the accuracy to the level of 95%.
Procurement and Vendor Coordination:
- Obtain detailed estimates from subcontractors and material suppliers based on project and scope documentation with a response time of 5 business days.
- Issue purchase orders for subcontractors and suppliers ensuring 100% accuracy and approval by the CEO..
Schedule Management:
- Collaborate with internal and external stakeholders to prepare and issue project schedule updates. The goal is to keep 95% of the projects on time.
- Ensure the accuracy of up to 95% for schedule adjustments based on project milestones.
Filing and Record Keeping:
- Maintain an organized online filing system achieving 99% document retrieval accuracy for all project-related documents.
- Ensure proper documentation of all project-related activities for easy access.
Qualifications:
- Experience: Minimum of 3 years of experience in project coordination, preferably in service or a related industry.
- Education: Bachelor’s degree in Business Administration, Project Management, Engineering, or a related field is preferred.
- Technical Skills: Proficiency in project management software (e.g., Microsoft Project, Smartsheet, or similar) and familiarity with manufacturing processes.
- Soft Skills: Strong organizational and multitasking abilities, excellent communication and interpersonal skills, and a proactive problem-solving mindset.
- Knowledge: Familiarity with commercial refrigeration equipment manufacturing or related technical industries is an asset.
- Communication: Excellent 100% fluent written and verbal English communication
