Job Description:
Richmond Packaging Ltd. is seeking an organized and detail-oriented Production Administrator to support our manufacturing operations.
This position is responsible for maintaining accurate production records, preparing operational reports, coordinating training documentation, supporting payroll administration, and providing administrative support to the production and management teams.
The successful candidate will have strong Excel and data-management skills, excellent attention to detail, and the ability to work collaboratively with Production, Shipping, Quality, Maintenance, Human Resources, Payroll, and Management.
Duties and Responsibilities:
·Production Administrator Duties
- Complete daily production data entry and maintain accurate production records.
- Maintain production spreadsheets and tracking systems for multiple production departments.
- Prepare production labels and distribute production dockets to the appropriate departments.
- Collect, organize, review, and verify production, scrap, downtime, and labour information.
- Track & analyze production output, machine performance, operational efficiency, scrap, waste, and downtime.
- Prepare daily, weekly, monthly, and year-over-year production reports.
- Create and maintain production KPI reports, dashboards, graphs, charts, and trend analyses.
- Monitor departmental production targets and identify reporting discrepancies or trends.
- Coordinate with Production, Shipping, Quality, Maintenance, and Management regarding operational data.
- Prepare documentation for management meetings, audits, and operational reviews.
- Coordinate employee training records and certifications such as HACCP, First Aid, SQF, fork lift license
- Generate graphs, charts, dashboards, and trend analyses for management review
- Maintain production spreadsheets, databases, and tracking systems
- Coordinate with Production, Shipping, QC, Maintenance, and Management teams regarding operational data
- Prepare documentation for meetings, audits, and operational reviews
- Maintain organized electronic and physical production records.
Payroll & Attendance Support
- Collect & Review employee timesheets, attendance records, overtime, vacation, and sick time and unpaid leave information.
- Verify payroll information and follow up with department managers regarding missing or unclear records.
- Compile and submit accurate payroll information to Finance within established payroll deadlines.
- Maintain organized and confidential payroll-support and attendance records.
- Update employee information in the timekeeping system, as authorized.
- Assist Finance and Human Resources with payroll reports, Records of Employment, and payroll-related documentation.
- Help investigate payroll discrepancies by gathering and verifying supporting information.
- Monitor employee attendance, unpaid leave, and vacation balances
- Coordinate with Human Resources, Finance, and department managers regarding employee and payroll updates.
- Support the processing of payroll deductions, benefits, and statutory remittances.
- Maintain employee payroll files and confidential records
- Coordinate with HR and department managers regarding payroll approvals and updates
- Respond to basic employee questions and direct payroll-processing inquiries to Finance, as appropriate.
General Administrative Support
- Assist with employee communications and workplace engagement initiatives.
- Support the planning and coordination of company events, including employee appreciation events, summer barbecues, and holiday celebrations.
- Provide other administrative support related to production operations, payroll, and reporting, as reasonably required.
Job Type: Full-time
Pay: $52,000.00-$60,000.00 per year
