Job Summary
We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will be responsible for managing daily office operations, providing exceptional customer service, and supporting administrative functions. This role requires strong computer skills, proficiency in office software, and the ability to handle multiple tasks efficiently in a fast-paced environment. Experience in medical or dental offices is a plus, along with familiarity with QuickBooks and bookkeeping practices. The Office Administrator will serve as the front desk representative, managing multi-line phone systems, filing systems, and data entry processes to ensure smooth office workflow.
Responsibilities
- Manage front desk duties including greeting visitors, answering multi-line phone systems, and providing excellent customer support with professional phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office software
- Handle filing, document proofreading, and organizational tasks to ensure proper document management
- Support bookkeeping activities using QuickBooks and assist with basic financial record keeping
- Coordinate appointments, schedule meetings, and manage calendar activities for staff members
- Assist with clerical tasks such as photocopying, scanning, and mailing correspondence
- Provide administrative support for various departments including medical or dental offices as needed
- Ensure the office environment remains organized, clean, and welcoming for clients and staff
Experience
- Prior office experience is required; experience in medical or dental offices is highly desirable
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with QuickBooks or bookkeeping software is preferred
- Strong computer skills including data entry, typing, proofreading, and document management
- Experience handling multi-line phone systems and front desk responsibilities
- Excellent organizational skills with attention to detail and accuracy
- Customer service experience demonstrating professionalism and effective communication skills
- Previous clerical or administrative experience combined with good phone etiquette is essential
Pay: $25.99-$35.99 per hour
