This position is required to work in person at 426 Brant Street, City Hall. Work location is subject to change at the discretion of the City due to operational demands.
Position Overview
Reporting to the Production Coordinator - Digital Copy Centre and working out of City Hall, this position is responsible for sorting, delivering and/or scanning all incoming and outgoing mail and courier shipments and aiding the Digital Copy Centre team. The Mail Clerk provides frontline customer service to all departments.
Responsibilities
The Mail Clerk will be responsible for:
Sorting all incoming Canada Post, courier, drop box, and interoffice mail. Scan and/or deliver throughout the organization.
Process outgoing mail and registered mail, keeping track of charge backs to external affiliates and keeping accurate records to meet legislative requirements. Communicate or provide proof of delivery to staff and supervisor as required.
Maintain lists and distribute print jobs and communications to departments, staff, facilities, and affiliates.
Receive supplies through the loading dock, at times using the forklift to load and unload; organize and distribute stock accordingly.
Using Digital Storefront (online order system), process and distribute all stockroom supplies, including paper, envelopes, souvenirs, and IT equipment. Ensure high value items are secured at all times.
Assist with the finishing work and bindery for print jobs, which includes operation of a hole punch, paper drill, guillotine, folder, folder/inserter, envelope printer, perforation machine, paper scorer, booklet maker and printers. Prepare proper bundling and labeling for Canada Post and process appropriate paperwork.
Fill out and print online forms to prepare packages and mail that require delivery through Canada Post, Purolator, UPS, FedEx, etc. and provide tracking info to clients.
Notify Facility maintenance staff and Production Coordinator on condition of the dock area as required. Make sure that dock area doors are always closed.
Maintain clean and safe work environment. Be aware of health and safety policies regarding heavy lifting and obstructions with the mail room and dock area.
Requirements
The successful applicant requires at least 6 months of experience working in a mail room environment, a high school diploma and strong communication, time management and organizational skills. This position involves the operation of a small forklift and technical equipment that includes heavy lifting of paper supplies and finished products. Working knowledge of MS Word and Excel and basic knowledge or Adobe Acrobat and online ordering software are assets for this position.
