Job Summary
We are seeking a detail-oriented and organized Bookkeeping Assistant to support the financial operations of our organization. The successful candidate will assist with maintaining accurate financial records, processing accounting transactions, preparing reports, and supporting budgeting and audit activities. This role requires strong organizational skills, attention to detail, and the ability to maintain confidentiality while working collaboratively with the finance team.
Duties
- Assist in maintaining financial records, including purchases, sales, receipts, and payments.
- Help reconcile bank statements, balance department budgets and client accounts, ensure prompt payments, and maintain financial ledgers.
- Assist with maintaining and reviewing Youth Agreement Contracts.
- Prepare financial reports by collecting, analyzing, and summarizing account information.
- Support the Bookkeeper and Payroll Coordinator in preparing annual budgets, financial forecasts, and audit preparation.
- Perform data entry and update financial information within QuickBooks and other financial systems.
- Assist with bookkeeping functions and ensure accounting best practices are followed.
- Ensure compliance with organizational policies, procedures, and financial controls.
- Manage monthly journal entries and post them accurately to the general ledger.
- Coordinate with the finance team to complete assigned accounting tasks within established deadlines.
- Perform administrative duties including filing, typing, copying, binding, scanning, and document management.
- Carry out other related duties as assigned.
Requirements
- Certificate, diploma, or post-secondary education in Accounting, Bookkeeping, Business Administration, or a related field preferred.
- Previous bookkeeping, accounting, or administrative experience is an asset.
- Experience using QuickBooks or similar accounting software is an asset.
- Strong understanding of basic accounting principles and bookkeeping practices.
- Excellent organizational skills and attention to detail.
- Strong computer skills, including Microsoft Office Suite (Excel, Word, Outlook).
- Ability to manage confidential information with discretion and professionalism.
- Strong communication and interpersonal skills.
- Ability to work independently and collaboratively within a team environment.
- Clear Criminal Record Check with Vulnerable Sector screening.
