As part of the ongoing development of our firm, we are looking for an Administrative Assistant for our Northern team at our Montreal office. This person will work closely with project managers for document preparation and project monitoring. They will be responsible for relationships with service providers, consultants, and clients. This position is an excellent opportunity for a proactive and dedicated individual who wants to make a meaningful contribution to the firm’s growth and visibility through its diverse architectural achievements.

Main Responsibilities

Read and administer service proposals

Coordinate meetings with project managers to ensure administrative and financial monitoring of projects

Ensure liaison with the accounting department so that invoices align with work progress and the contract

Verify the status of accounts receivable and follow up with clients

Organize team travel, allocate expenses to appropriate projects
Your Profile

Proficiency in Microsoft Office suite

Excellent knowledge of French, spoken and written

Good knowledge of English as you will also be called upon to work with our Ontario office

More than 2 years of professional experience in a similar position

Ability to effectively manage multiple projects and deadlines
