As an Executive Assistant, you will play a crucial role in supporting the business owner and ensuring the company’s operations run efficiently. You’ll help handle administrative tasks, manage schedules and email inboxes, shadow in meetings and help streamline processes—all while staying one step ahead of what needs to be done. This role is perfect for someone who thrives in a fast-paced environment, is highly organized, and is eager to grow with the company.
This role will also allow for opportunities of advancement over time as the business grows and needs more management staff. This next year will see the business owner begin to step out of the day to day of this business and pursue new ventures and investments in the health and wellness industry. This person will play a critical role in helping to achieve that. Key Responsibilities
Administrative & Executive Support
- Manage the owner’s inbox, responding and delegating tasks where needed.
- Organize personal and work calendars, book appointments, and manage schedules.
- Review and pay bills, track expenses, and oversee financial organization.
- Attend meetings, take notes, manage task lists, and ensure all items are completed before the next meeting.
- Keep the owner & management aware of priorities, deadlines, and where they need to be.
- Proficient in Excel, Google Drive, and QuickBooks Online (preferred).
Business Operations
- Assist in creating and launching new business ventures.
- Help manage and optimize company processes and office operations.
- Support recruitment efforts.
- Coordinate and oversee event planning for both the company and the owner’s personal engagements.
- Plan and manage company retreats, team-building events, and client appreciation initiatives.
- Organize personal and business travel arrangements, including flights, accommodations, and itineraries.
- Oversee social media management, helping to create and schedule content.
What We’re Looking For
- 3+ Years of Executive Level Administration / Executive Assistant experience
- Super organized, detail-oriented, and proactive.
- Strong problem-solving skills and ability to anticipate needs.
- Experience in social media management is a plus.
- Ability to work independently while staying accountable.
- Adventurous spirit with an appreciation for the outdoors.
- A work-hard, play-hard mentality—willing to put in effort but also enjoy the rewards.
- Eager to learn, grow, and support others within the company.
- Located on the North Shore is preferred but not required.
- Drivers license and reliable vehicle is required for errand running from time to time. (expenses to be covered)
- Interest in business development and long-term growth opportunities.
Compensation Package
- Generous salary package $30-$35+ p/h based on experience
