Raise is currently hiring an Administrative Assistant on behalf of our client. This is an excellent opportunity for an organized and detail-oriented professional to support field operations and construction teams within a dynamic utility environment.
Note: The primary pay rate is based on the rate for an incorporated contractor who owns their own business. However, we will also consider applications from candidates interested in a T4 arrangement, where applicable.
Description
The Administrative Assistant provides administrative, procurement, and operational support to construction and field crews, ensuring the smooth coordination of daily activities, materials, documentation, and communication between internal teams and external vendors. This role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced environment while supporting multiple priorities.
Responsibilities:

Provide day-to-day administrative support to construction and field operations teams.

Coordinate and process procurement requests, purchase orders, invoices, and related documentation.

Support scheduling, logistics, and coordination activities for field crews and operational teams.

Maintain accurate records, reports, and project documentation.

Liaise with internal departments, vendors, and contractors to facilitate timely delivery of materials and services.

Assist with tracking budgets, expenditures, and procurement activities.

Prepare correspondence, reports, meeting materials, and other administrative documents.

Ensure compliance with company policies, procedures, and documentation standards.

Support operational and project-related activities as assigned.
Key Deliverables:

Timely processing and tracking of procurement requests and purchasing activities.

Accurate maintenance of administrative records and project documentation.

Effective coordination and support of field and construction crews.

Timely communication with vendors, contractors, and internal stakeholders.

Support operational efficiency through organized scheduling and administrative processes.

Contribute to successful project execution through proactive coordination and administrative support.
Education and Skills:
-
3+ years of administrative support experience, preferably in construction, utilities, engineering, or field operations environments.

Experience supporting construction crews, field crews, or operational teams.

Experience with procurement, purchasing, vendor coordination, or contract administration.

Strong organizational, time management, and multitasking skills.

Excellent written and verbal communication skills.

Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

Ability to work independently while managing multiple priorities and deadlines.

Strong attention to detail and commitment to accuracy.
Preferred Skills & Experience:

SAP experience or exposure.

Experience working within a utility, construction, engineering, or industrial environment.

Advanced Microsoft Excel skills.

Experience supporting project teams and operational departments.

Familiarity with purchasing and inventory management processes.
