Job Description
The Administrative Assistant is responsible for providing exceptional customer service while ensuring the efficient day-to-day operation of the clinic. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced multidisciplinary healthcare environment.
Key Responsibilities
- Greet and assist patients in a friendly and professional manner.
- Schedule, reschedule, and confirm patient appointments using Jane App.
- Answer incoming phone calls, emails, and patient inquiries.
- Register new patients and maintain accurate patient records in Jane App.
- Process patient payments and complete daily cash balancing.
- Submit and manage direct billing for private insurance providers.
- Process and monitor ICBC and WorkSafeBC (WorkSafeBC) claims, including treatment authorizations and billing.
- Verify insurance coverage and assist patients with billing inquiries.
- Coordinate with practitioners to ensure accurate scheduling and documentation.
- Maintain a clean, organized, and welcoming reception area.
- Perform general administrative and clerical duties while supporting the daily operations of the clinic.
Required Qualifications
- Minimum 1–2 years of experience working in a multidisciplinary clinic.
- Proficiency with Jane App is required.
- Experience processing direct billing for private insurance, ICBC, and WorkSafeBC claims is required.
- Strong knowledge of medical office administration and patient scheduling.
- Excellent communication, customer service, and interpersonal skills.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- High level of accuracy, attention to detail, and problem-solving ability.
- Ability to work independently as well as collaboratively within a team.
- Professional, reliable, and committed to maintaining patient confidentiality.
Pay: $18.25-$20.00 per hour
