Your Responsibilities
- You'll create a positive first impression by greeting visitors, suppliers, and customers while maintaining visitor records and front office operations.
- You'll coordinate guest services by managing hospitality supplies, maintaining shared spaces, and supporting meeting and event preparations.
- You'll assist with guest arrivals by preparing welcome packages, name badges, lunches, and other hosting requirements.
- You'll support shipping and logistics activities by packaging materials, preparing shipping documentation, arranging courier pickups, and tracking deliveries.
- You'll create and maintain freight purchase orders while ensuring customs and shipping documentation is accurately filed and organized.
- You'll update operational manuals, coordinate document translations, and maintain current records and procedures.
- You'll provide administrative support through scanning, filing, printing, binding, switchboard management, and general office coordination.
Skills and Qualifications
- 2+ years of administrative, office coordination, reception, or corporate support experience.
- Strong organizational and time management skills with the ability to manage competing priorities.
- Experience using Microsoft Office Suite for document management, data entry, and administrative tasks.
- Excellent verbal and written communication skills with a professional and customer-focused approach.
- Experience managing phone systems or switchboards and directing inquiries appropriately.
- High attention to detail with strong document control, filing, and record management capabilities.
- Demonstrated ability to multitask, adapt to changing priorities, and proactively identify opportunities for improvement.
