Position Overview
The Claims Coordinator is responsible for managing all aspects of claims handling across Canada and supporting Safety and Risk Management processes to ensure logistical efficiency and financial control. This role ensures all activities are carried out in alignment with company policies and procedures, promoting safe and on-time operations.
Organizational Status
This role works closely with Dispatch Supervisors, the Safety team, and senior management to support the safe and efficient coordination of freight and logistics across all terminals. The Claims Coordinator contributes to the execution of strategic operational goals and ensures that performance aligns with weekly, monthly, and annual company targets.
Key ResponsibilitiesClaims Handling and Oversight
- Manage and process claims related to accidents, damages, cargo, and property loss.
- Conduct thorough investigations to gather facts and supporting documentation.
- Liaise with insurance providers to file, monitor, and resolve claims.
- Assess claim validity, determine liability, and estimate financial exposure.
- Coordinate timely repairs and ensure claims are closed efficiently.
- Maintain detailed records of claims and related communications.
Safety and Risk Management
- Assist in the development and implementation of risk reduction strategies.
- Support safety training initiatives for operations and office staff.
- Enforce compliance with company safety policies, industry standards, and legal regulations.
- Identify recurring risks and collaborate with operations to reduce incidents.
Financial Oversight
- Track and manage the claims expense budget.
- Analyze trends to identify cost-saving opportunities.
- Prepare regular reports for management on claim volumes, outcomes, and risks.
- Support internal audits and reviews related to claims and safety.
Leadership & Collaboration
- Provide cross-functional support to Dispatch Supervisors and Operations Managers.
- Assist with operational objectives related to safety, compliance, and loss control.
- Maintain open communication across terminals to ensure consistent claims handling practices.
Customer and Stakeholder Relations
- Deliver excellent internal and external customer service throughout the claims process.
- Engage with claimants, adjusters, legal teams, and internal departments to resolve claims efficiently.
- Keep all parties informed throughout the lifecycle of a claim.
Continuous Improvement
- Recommend and implement process improvements to streamline claims handling.
- Support cross-departmental collaboration to enhance safety and accountability.
- Participate in special projects and strategic initiatives as needed.
Qualifications
- Previous experience in claims coordination, safety, risk, or logistics is preferred.
- Strong organizational and communication skills.
- Ability to work independently and manage multiple priorities.
- Proficiency with MS Office Suite and relevant reporting tools.
- Knowledge of transportation industry regulations and claims processes is an asset.
