Position Summary
The Scheduling Coordinator is primarily responsible for building geographically sound and efficient Instructor schedules, as well as daily communication with Sales Representatives (Account Managers) and Instructors.
Specific Accountabilities
- Work collaboratively with Account Managers and/or Clients to gather all pertinent job information, utilizing FieldPoint transfer job information onto Work Order to be scheduled
- Schedule all Instructors
- Responsible for scheduling all Work Orders
- Ensure all clients are aware of training details
- Daily schedule management to ensure maximum Instructor efficiency, optimal routing, appropriate skill sets utilized, use of FieldPoint routing tool
- Monitor on a daily basis Unscheduled Work Orders
- Responsible for filling Instructor open time with productive activities, work collaboratively with Operations Manger to support this
- Assist Instructors with information as required
- Assist as required with reports
- Work collaboratively with Operations Manager to forecast and plan for slow and busy times in the schedule as well as Instructor vacations
- Following the Department SLA timelines
- Collaborate and communicate with Clients, Account Managers, Instructors, and CET as needed
- Answering incoming phone lines
- Manage and distribute all virtual invitations and e-learning codes (generation of codes and assignment)
- Distribute any course materials as required
- Client support for e-learning code issues
- Any other duties assigned
Qualifications
Education & Work Experience
High school completion or equivalent education proficiency and/or 1-2 years’ experience in an office position.

- Effective interpersonal skills with the ability to communicate clearly and effectively in verbal and written form.
- Highly organized with the ability to multi-task.
- Accurate and detail-oriented with strong analytical skills.
