Job Summary
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and clients, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency in office software, and the ability to manage multiple tasks efficiently in a fast-paced environment. Experience with medical or dental offices, QuickBooks, and Microsoft Office is highly desirable.
Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Answer multi-line phone systems promptly and professionally, directing calls as needed
- Manage appointment scheduling and coordinate calendars using Google Workspace or similar tools
- Perform data entry with accuracy into various databases and software systems
- Handle clerical tasks such as filing, photocopying, and maintaining organized records
- Assist with billing, invoicing, and bookkeeping using QuickBooks or comparable software
- Support administrative functions including proofreading documents and managing correspondence
- Maintain a clean and welcoming front desk area at all times
- Provide customer support by addressing inquiries and resolving issues efficiently
- Ensure compliance with office procedures and confidentiality standards
Qualifications
- Proven experience in office administration, clerical work, or customer service roles
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Experience with QuickBooks, data entry, filing systems, and multi-line phone systems preferred
- Excellent phone etiquette and organizational skills with attention to detail
- Ability to handle multiple tasks simultaneously while maintaining professionalism
- Previous experience in medical or dental office settings is a plus, including familiarity with front desk operations and medical office procedures
- Strong typing skills with accuracy in proofreading documents
- Customer service orientation with a friendly demeanor and problem-solving abilities
