Job description:
The Inbound Admin is responsible for supporting all inbound operations within the warehouse, ensuring accurate and timely receipt of products. This role requires strong logistics and inventory experience, particularly within a food warehouse or distribution environment. The successful candidate will manage inbound shipments, verify products upon arrival, prepare and process required documentation such as Bills of Lading (BOLs) and Purchase Orders (POs), and maintain accurate inventory records.
The ideal candidate is detail-oriented, organized, and able to manage multiple inbound shipments in a fast-paced environment while maintaining accuracy and strong communication with vendors, shippers, and warehouse teams.
Key Responsibilities:
- Perform all administrative tasks related to inbound shipments and receiving
- Coordinate and manage multiple inbound deliveries daily
- Review and create Bills of Lading (BOLs) and Purchase Orders (POs) as required
- Prepare and process receiving documentation, packing slips, and inventory paperwork
- Verify products upon arrival, ensuring quantities and condition match purchase orders
- Support and monitor the inbound receiving workflow
- Use RF scanners to update inventory and assist with product verification
- Maintain accurate records in WMS, ERP systems, and spreadsheets
- Communicate with vendors, carriers, shippers, and receivers regarding shipment status and discrepancies
- Report inventory discrepancies and assist with resolution
- Ensure compliance with food industry handling and documentation standards
- Provide administrative support to warehouse and logistics teams
Qualifications and Skills:
- High school diploma or equivalent; post-secondary education in logistics, administration, or supply chain is an asset
- 1–2 years of administrative experience in a warehouse, distribution, or supply chain environment
- Experience in the food industry is preferred
- Strong logistics coordination and inventory management experience
- Hands-on experience creating and processing BOLs and Pos
- Strong understanding of inbound receiving workflow and shipment verification procedures
- Experience using WMS, ERP systems, RF scanners, and Microsoft Excel
- Strong data entry skills with high accuracy
- Excellent communication skills and professional email étiquette
- Ability to manage multiple tasks in a fast-paced environment
- Strong attention to detail and organizational skills
- Must have a good command of the English language with the ability to read, write, speak, and understand instructions
- Candidates must be legally authorized to work in Canada. Preference will be given to Canadian Citizens, Permanent Residents, or Work Permit holders with at least 1 year of remaining eligibility.
