Cambria Design Build is seeking a highly organized, professional, and service‑oriented Office Administrator to join our team. As the first point of contact for clients, partners, and staff, you play a vital role in shaping the experience of everyone who walks through our doors or calls our office. This position is ideal for someone who thrives in a fast‑paced environment, enjoys supporting a diverse team, and takes pride in keeping operations running smoothly.
About the Role
The Office Administrator provides comprehensive administrative and clerical support across all areas of the company. This includes reception duties, coordinating travel and meetings, managing office and kitchen supplies, supporting onboarding, and assisting with building and vehicle maintenance coordination. You will be the central hub of communication and organization within the office, ensuring a professional, efficient, and welcoming environment.
Key Responsibilities Reception & Front‑Line Support
- Greet and assist all visitors, clients, and contractors
- Answer and direct incoming calls
- Maintain a professional and organized reception area
- Serve as a primary point of contact for general inquiries
Administrative & Office Support
- Maintain inventory and purchase office, kitchen, and cleaning supplies
- Prepare correspondence, presentations, reports, and meeting materials
- Create and maintain spreadsheets, phone lists, and organizational charts
- Coordinate courier services, mail, and freight
- Monitor building cameras and coordinate maintenance as required
- Manage door key fobs and access points
- Oversee the Head Office email account
- Coordinate with IT for phone setup and troubleshooting
- Manage boardroom and company van bookings
- Order branded clothing and manage inventory
- Support onboarding for new and existing employees
- Lead the employee birthday program and manage gift card inventory
- Assist with maintenance and shuttle services for company vehicles
Events & Other Duties
- Assist with planning company events such as Christmas parties and golf tournaments
- Protect confidential information
- Perform other duties as assigned
QualificationsEducation & Experience
- Grade 12 diploma required; post‑secondary education an asset
- Minimum 3 years of administrative experience (construction industry experience an asset)
Skills & Competencies
- Strong computer skills; proficiency in MS Office
- Ability to operate standard office equipment
- Excellent written and verbal communication skills
- Professional and pleasant telephone manner
- Strong multitasking abilities and comfort working under daily deadlines
- High attention to detail, reliability, and punctuality
- Ability to work independently and collaboratively
